The Office Administrator is the initial point of contact for clients, providing a welcoming and efficient front desk experience. This position is essential for ensuring smooth daily operations and supporting client satisfaction.

Client Relations
- Greet and welcome clients upon arrival.
- Direct guests to their service areas professionally.
- Ensure client forms and waivers are completed and signed before services.
- Provide information about services, treatments, and retail products.
Communication
- Answer and direct incoming phone calls promptly.
- Respond to client messages and inquiries in a timely manner.
- Manage the email system for efficient communication.
Appointment Management
- Schedule, reschedule, and confirm client appointments.
- Maintain accurate client appointment records.
- Minimize scheduling conflicts to enhance efficiency.
Administration Duties
- Maintain client data records in accordance with confidentiality standards.
- Manage filing systems for forms and client records.
- Monitor office resources to ensure adequate supplies.
Payments & Transactions
- Process client payments accurately and issue receipts.
- Record and reconcile transactions per spa policy.
Operational Support
- Assist in ensuring smooth front desk operations.
- Maintain a clean and organized reception area.
- Support management in coordinating operational needs.
Performance Expectations
- Deliver excellent customer service to enhance the client experience.
- Maintain professionalism and confidentiality at all times.
- Ensure accuracy in appointment management and record keeping.
- Communicate proactively with team members to support operations.
