Job Responsibilities
- Respond to enquiries and complaints, escalating them to the appropriate manager when necessary.
- Follow up on unresolved issues to ensure timely resolution of complaints.
- Manage the Archibus System and maintain accurate electronic and physical records.
- Prepare reports and provide information to both internal and external stakeholders.
- Handle correspondence, filing, photocopying, and distribution of documents.
- Oversee procurement processes, including obtaining quotations and maintaining stationery supplies.
- Maintain the asset register and assist in procuring equipment and materials.
- Capture and update expenditure records accurately.
- Process travel claims, petty cash, and telephone accounts.
- Arrange travel and accommodation, ensuring compliance with payroll procedures.
- Maintain leave registers, manage diaries, book venues, and coordinate meetings.
- Take minutes during meetings and circulate them to attendees.
- Assist with catering procurement as needed.
Qualifications and Requirements
- Senior Certificate/Grade 12.
- Knowledge of office administration, Reapatala, PFMA, and Treasury Regulations.
- Familiarity with financial management, state budgetary systems, Archibus, and Logis.
- Skills in numeracy, accounting, organization, interpersonal relations, diplomacy, computer literacy, problem-solving, and communication.
- Personal attributes: Ability to work under pressure, teamwork, and a strong work ethic.
