Duties & Responsibilities:
Operations
- Open shipment files, allocate shipment file numbers, and obtain landside and transport rates.
- Receive and perform Quality Control (QC) on shipment pre-alert documents for completeness and correctness.
- Ensure all documentation is obtained and provided to the clearing department, notifying the consignee appropriately.
- Gather cargo and origination information, finalize shipping methods with clients and international offices.
- Monitor cargo arrival against bookings with shipping lines or airlines to facilitate timely order processing.
- Track service success and failures to promote continuous improvement in operations.
- Ensure all shipments are cleared, released, and delivered within stipulated time frames.
- Maintain knowledge of geographic landscapes to provide informed guidance to clients.
- Coordinate the preparation and filing of relevant transport documents.
- Reconcile delivered shipments against shipping documents to identify and address variances.
Operational Finance
- Capture and ensure accuracy of accruals for individual shipments in the revenue recognition month.
- Assist in timely closeout of shipments by tracking from indent to P.O.D. and invoice payment.
- Verify information on bills of lading against invoices and packing lists prior to submission to Customs.
- Align client invoices with estimates issued prior to business acquisition.
- Capture anticipated accruals for invoicing based on shipment nature and geographic landscape.
- Facilitate timely issuance of invoices to clients with relevant stakeholders.
Client Engagement
- Interact with clients to keep them informed about shipments and provide assistance in updating systems.
- Coordinate end-to-end shipments and act as the primary contact for clients.
- Ensure operational efficiency and excellent communication to retain clients.
- Address client issues promptly to minimize escalations and ensure satisfaction.
- Collaborate with teams to offer optimal solutions to clients.
- Develop strong relationships with carriers, agents, and customers to enhance brand loyalty.
- Resolve client queries and complaints in a timely manner.
- Ensure client KPIs are met and achieved.
Compliance
- Ensure compliance with company regulations and global SOPs in all activities.
- Serve as the first point of contact for client customs queries.
- Work with customs teams to ensure all required documents are submitted before shipment arrival.
- Engage with revenue authorities regarding tariffs and pricing compliance.
- Prepare daily, weekly, and monthly reports including exception and volume reports.
Qualifications and Requirements:
- Minimum Diploma in Supply Chain, Logistics, Transport Management, Port Operations, or equivalent with at least 3 years of experience.
- Customs Clearance accreditation is an advantage.
- Freight Forwarding certificate.
- Excellent communication skills.
- Strong decision-making and problem-solving abilities.
- Analytical skills with attention to detail.
- Ability to interact with clients, senior management, and authorities.
- Capable of working in a team environment and independently with minimal supervision.
