Requirements
- Grade 12 certificate.
- Exposure to Records Management and/or Human Resource Management in the public health sector will be an added advantage.
- Essential skills and attributes: ability to read and follow instructions, confidentiality, self-discipline, planning and organising, good verbal and written communication, computer literacy, flexibility, and teamwork.
- Priority consideration will be given to EPWP participants and current or former MSD interns.
Core Competencies:
- Knowledge of registry duties, practices, and record-keeping.
- Data capturing and computer operation skills.
- Familiarity with the legislative framework governing public service.
- Understanding of storage, retrieval, and disposal procedures.
- Practical knowledge of registry work processes.
Key Responsibilities
- Receive, register, and file HR-related correspondence and documents.
- Open, maintain, and update both physical and electronic files according to classification systems.
- Organise and manage filing systems, including allocating reference numbers and performing spot checks.
- Manage file movements: register hand-delivered items, track outgoing and incoming files, and operate franking machines.
- Process records for archiving and disposal, including preparing files for storage and compiling archival lists.
- Retrieve requested documents for HR staff and auditors, assisting with investigations and audit requirements.
- Provide counter services to staff for registry-related enquiries.
- Safeguard files and records, ensuring proper security and custody.
- Support departmental audits by preparing and submitting documentation with a clear audit trail.
- Perform administrative tasks and operate relevant office equipment.
- Capture accurate data and maintain electronic record systems.
